What does a wedding planner do?

What does a wedding planner do? Great questions and depending on the level of service you book, A wedding planner manages every element of your wedding so you don’t have to. This includes sourcing and coordinating vendors (venues, caterers, florists, photographers, DJs), managing your budget, creating and maintaining a detailed timeline, handling logistics on the wedding day, and troubleshooting anything that comes up along the way. At Perfect Storm Moments, we go further — as a husband-and-wife team, we bring two complementary perspectives to every wedding, from design aesthetics to logistical precision. You focus on enjoying each other and the all the important moments. We handle the rest.

Full-service planning means we are with you from the very beginning — helping you set a vision, choose a venue, book every vendor, design the aesthetic, and manage every detail through the final farewell. It’s the most comprehensive option and the best choice for couples with busy schedules or complex weddings.

Partial planning is ideal if you’ve already handled some bookings but want professional support for the rest. We step in where you need us most.

Wedding Day Managment (aka – Day-of coordination) means you’ve planned your wedding yourself and need a professional to execute it flawlessly on the day. We take over your existing plans about 8 weeks before the wedding to review everything, confirm vendors, and run the event.

Perfect Storm Moments offers all three service levels, tailored to your needs.

Wedding planner costs in the Seattle and Bellevue area vary widely based on the level of service and the level of experience the planner has. Day-of coordination typically ranges around $2,000–$4,000. Partial planning packages generally range from $3,500–$6,500. Full-service wedding planning can range from $5,000 to $15,000 or more depending on the complexity and scale of the wedding. This is one of the most common misconceptions in wedding planning. A venue coordinator works for the venue — their job is to make sure the venue runs smoothly, catering is executed, and the space is set up correctly. They are not responsible for managing your photographer’s timeline, ensuring your florist arrives on time, cueing your DJ, or handling a family emergency. Your wedding planner works exclusively for you, coordinating all vendors, managing the full day’s timeline, and acting as your single point of contact so nothing falls through the cracks.

Absolutely. While we are based in the Seattle and Bellevue area of Washington State, Perfect Storm Moments travels throughout the entire Pacific Northwest, or anywhere in the world where you might need us. We commonly support couples all over the PNW – including Portland, the Olympic Peninsula, the San Juan Islands, Snoqualmie, Leavenworth, the Columbia River Gorge, and beyond. If you have a beautiful venue in mind, we’ll be there. Travel fees may apply for locations outside our local service area — just ask us.

The sooner, the better. For full-service planning, we recommend booking 12–24 months before your wedding date — especially in competitive markets like Seattle where popular venues and vendors book up quickly. For partial planning, 9–12 months is ideal. Day-of coordination can be booked as late as 2–3 months out, though earlier is always better. Having a profesional wedding planner in your corner can really help save you from mis-steps and pitfalls along the way. If you’ve just gotten engaged, reaching out now is never too early.

Look for a planner whose personality and communication style feel like a natural fit — you’ll be working closely with them for months. Ask about their experience with weddings similar in size and style to yours. Check reviews and ask for references. Make sure they have strong relationships with local vendors, since those connections save you time, stress, and often money. Trust your gut during the initial consultation — if you feel heard and understood, that’s a great sign. We always offer a no-pressure consultation call so you can get to know us before committing.

Yes — and it’s one of our favorite parts of the process. Perfect Storm Moments is a planning and design studio. We help couples develop a cohesive visual vision for their wedding — from color palettes and floral direction to tablescape design, stationery, and lighting. We work with your florist, rental company, and other creatives to ensure every element tells a unified story. Great weddings aren’t just well-organized — they’re beautiful and intentional.

Things happen — a vendor runs late, the weather turns, a boutonniere goes missing. This is exactly why hiring an experienced wedding planner matters. We anticipate problems before they occur, have contingency plans ready, and handle anything that arises discreetly so you never know there was an issue.
